Collaborative notes, sheets, slides and whiteboards for GxP project teams

Q Collab is where a life sciences team keeps everything it writes around its work that is not a controlled record: meeting notes and decisions, trackers and estimates, the slides for a steering group, the flow sketched on a whiteboard. Four tools (Q Notes, Q Sheets, Q Slides, Q Draw) on one hub, edited by several people at once with nothing lost, shared with the workspace or a few people, tied to the projects of Project management, and drafted by the AI from a prompt. Uncontrolled by design, with the history of who changed what and the audit trail of who created, shared, linked or archived a document, so the controlled records stay what they are.

What the module does

  • Q Notes: Markdown notes with headings, lists, tables, links and action items, shown as a page beside the text; templates for meeting notes, decision records, kickoff briefs, weekly status, retrospectives and how-to pages.
  • Q Sheets: workbooks with formulas (SUM, IF, VLOOKUP, STDEV, CP, CPK and ninety more), number formats, fills, frozen headers, rows and columns inserted with formulas kept right; Excel and CSV in and out.
  • Q Slides: decks written as Markdown (one slide per rule, speaker notes, four themes), presented full screen, exported to PowerPoint and locked PDF.
  • Q Draw: a whiteboard of boxes, decisions, arrows, text, sticky notes and pen strokes with templates for process flows, SIPOC, fishbone, swimlanes and boards; exported as SVG and PNG.
  • Editing together: saves merged line by line, cell by cell or shape by shape; the same place changed by two people keeps both versions; who is on the page and where is shown.
  • Sharing: the whole workspace, or the author and the people named; pins; archive and restore; comments anchored to a cell, a slide or a heading; a version history with view and restore.
  • AI drafting: a note, a sheet, a deck or a drawing written or revised from a prompt, grounded in the linked project's charter, tasks, milestones and risks, marked as an AI draft.
  • Written from the project: a status report, a steering committee deck, a plan tracker workbook with live formulas and a WBS diagram, each from the project's plan, schedule, milestones, risks and actions as they stand today.
  • Actions both ways: a note's to-dos become actions in the project's action log serving the note's task, each linking back to its note, and the note ticks them off with their outcome once they are closed.

How it fits the platform

Q Collab is built for Project management. A document serves a project (and a task): the project's page shows its documents and starts the next one, the Q Collab hub filters by project, and a note's action items are sent to the project's action log with their owners, due dates and priorities, where they are followed with every other action in the Action tracker. The plan of record, the budget and the signed approvals stay in the project; Q Collab holds the thinking around them.

Nothing in Q Collab is a record. There is no review and approval and no electronic signature, every export says it is an uncontrolled working document, and the controlled documents, records and their locked controlled copies remain where the quality system keeps them. When a note matures into a procedure or a decision that binds, the team creates the record and carries the content there.

Where people decide

People write, edit and decide what to send to a project; the system merges, keeps the history and the audit trail; the AI drafts when asked and marks what it wrote. Archiving a document is the author's, a manager's or an administrator's.

Questions about Q Collab

Is a Q Collab document a GxP record?

No. Q Collab documents are uncontrolled working documents: no review and approval, no electronic signatures, no hash-chained content audit, and every export says so. Controlled documents and records stay in the modules that control them; the audit trail keeps who created, shared, linked or archived a Q Collab document, and the history keeps who changed what.

Can several people edit the same document at the same time?

Yes. Each person's work is saved about a second after they stop and merged with their teammates' saves by line, cell or shape; everyone sees the others' changes within a few seconds. When two people change the same place at the same moment, both versions are kept and the notice says where.

How does Q Collab work with Project management?

A document can serve a project and a task. The project's page lists its documents, starts new ones and writes a status report, steering deck, plan tracker or WBS diagram from the project as it stands; a task's discussion lists the documents serving it; the AI reads the project when drafting; and a note's action items (“- [ ] what @Owner due date”) are sent to the project's action log, linked back to the note and ticked off in it once closed.

Can we use our own Excel and PowerPoint files?

Excel and CSV files come into Q Sheets with their values and formulas, and a workbook goes out as Excel with formulas and values or as CSV; a deck goes out as PowerPoint with titles, bullets, tables and speaker notes.
